Terms of Service

1. Agreement to terms

These Terms of Service ("Terms") are a legal agreement between you and EVOLV BV ("we", "us", "our"), a Belgian company (VAT BE0794907179), operating the RoleFlow platform at roleflow.eu and app.roleflow.eu.

By creating an account or using RoleFlow, you agree to these Terms. If you are using RoleFlow on behalf of an organization, you represent that you have authority to bind that organization to these Terms.

If you do not agree to these Terms, do not use RoleFlow.

2. What RoleFlow does

RoleFlow is a software-as-a-service (SaaS) platform that syncs Google Workspace group memberships to access roles in Google Analytics 4 (GA4), Google Tag Manager (GTM), and Google Ads. You define group-to-role mappings, and RoleFlow keeps access in sync automatically.

RoleFlow uses standard Google OAuth to connect to your Google products. You authorize RoleFlow to act on your behalf for each product separately. RoleFlow does not use service accounts or domain-wide delegation.

3. Your account

To use RoleFlow, you need a Google Workspace account with admin access. You are responsible for:

  • Keeping your Google account secure
  • All activity that occurs through your RoleFlow account
  • Ensuring you have the authority to manage access in the connected Google products
  • The accuracy of the group-to-role mappings you configure

You must not share your RoleFlow account with unauthorized users or use RoleFlow to manage products you do not have legitimate access to.

4. Plans and pricing

RoleFlow offers the following plans:

  • Free plan: One group mapping, manual sync only. No payment required.
  • Business plan: Unlimited group mappings, automatic hourly sync, audit log, and priority support. Priced at €49 per month or €490 per year.

We may change pricing with 30 days' notice. Price changes do not apply to the current billing period.

5. Billing and payment

Payment for the Business plan is processed by Stripe. By subscribing, you agree to Stripe's terms of service.

  • Monthly plans: Billed monthly in advance. You can cancel at any time. Your plan remains active until the end of the current billing period.
  • Annual plans: Billed annually in advance. You can cancel auto-renewal at any time, but the current annual period is not prorated or refunded.
  • Failed payments: If a payment fails, we will retry according to Stripe's retry schedule. If payment cannot be collected after retries, your account may be downgraded to the Free plan.

All prices are in euros (EUR) and exclude VAT where applicable. VAT will be added based on your location and applicable tax regulations.

6. Cancellation and termination

Cancellation by you

You can cancel your Business plan at any time from the billing section in your RoleFlow account. After cancellation:

  • Your plan remains active until the end of the current billing period
  • Your account is then downgraded to the Free plan
  • Your data and configurations are preserved

Account deletion

You can request full account deletion by emailing support@roleflow.eu. We will delete your account and all associated data within 30 days. This action is permanent and cannot be undone.

Termination by us

We may suspend or terminate your account if you:

  • Violate these Terms
  • Use RoleFlow for unauthorized or illegal purposes
  • Abuse the service (e.g., automated scraping, excessive API usage)
  • Fail to pay for the Business plan after repeated attempts

We will provide reasonable notice before termination, except in cases of severe abuse or legal obligation.

7. Acceptable use

You agree not to:

  • Use RoleFlow to gain unauthorized access to Google products you do not own or manage
  • Reverse engineer, decompile, or attempt to extract the source code of RoleFlow (except where permitted by law)
  • Use RoleFlow in a way that could damage, disable, or impair the service
  • Resell or sublicense access to RoleFlow without our written permission
  • Use automated tools to scrape data from RoleFlow
  • Interfere with or disrupt the security or integrity of the service

8. Intellectual property

RoleFlow, including its name, logo, design, and code, is owned by EVOLV BV. These Terms do not grant you any rights to our intellectual property beyond the right to use the service as described here.

The RoleFlow sync engine is open-source and available under its own license. The SaaS platform, including the web application, APIs, and infrastructure, is proprietary.

Your data remains yours. We do not claim ownership of any data you provide or generate through RoleFlow. We only use your data as described in our Privacy Policy.

9. Service availability

We aim to keep RoleFlow available and reliable, but we do not guarantee 100% uptime. The service may be temporarily unavailable due to:

  • Planned maintenance (we will provide advance notice when possible)
  • Unplanned outages caused by infrastructure issues
  • Changes or outages in Google APIs that RoleFlow depends on

RoleFlow depends on Google APIs (Workspace Directory, GA4 Admin, GTM, Google Ads). If Google changes, deprecates, or restricts these APIs, it may affect RoleFlow's functionality. We are not responsible for disruptions caused by third-party services.

10. Limitation of liability

To the maximum extent permitted by Belgian and EU law:

  • RoleFlow is provided "as is" and "as available" without warranties of any kind, whether express or implied.
  • We do not warrant that the service will be uninterrupted, error-free, or that sync operations will always execute correctly.
  • Our total liability to you for any claims arising from or related to these Terms or the service shall not exceed the amount you paid to us in the 12 months preceding the claim.
  • We are not liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, revenue, or business opportunities.

Nothing in these Terms excludes or limits liability for fraud, wilful misconduct, or any liability that cannot be excluded under applicable law.

11. Indemnification

You agree to indemnify and hold harmless EVOLV BV from any claims, damages, or expenses (including reasonable legal fees) arising from:

  • Your use of RoleFlow
  • Your violation of these Terms
  • Your violation of any third-party rights, including Google's terms of service
  • Incorrect group-to-role mappings you configure that result in unauthorized access

12. Privacy

Our Privacy Policy describes how we collect, use, and protect your personal data. By using RoleFlow, you acknowledge that you have read and understood our Privacy Policy.

13. Changes to these terms

We may update these Terms from time to time. When we make material changes, we will notify you by email or through the RoleFlow application at least 30 days before the changes take effect.

If you continue to use RoleFlow after the changes take effect, you accept the updated Terms. If you do not agree with the changes, you may cancel your account before they take effect.

14. Governing law and disputes

These Terms are governed by the laws of Belgium. Any disputes arising from these Terms or your use of RoleFlow shall be submitted to the exclusive jurisdiction of the courts of Antwerp, Belgium.

If you are a consumer in the EU, you also retain the right to bring proceedings in your country of residence in accordance with applicable consumer protection laws. You may also use the EU Online Dispute Resolution platform.

15. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions remain in full effect. The invalid provision will be modified to the minimum extent necessary to make it valid and enforceable.
